The Communication plan

The progress of our Communication Plan will be posted here. Last update: March 28, 2025.

Welcome to an overview of the communication activities for year one and initial planning for year two (download pdf):

The first year focused on building a flexible digital communication platform and developing a shared vision: Writing a BluePaper for eco-Arctic sailing, protecting nature and cultural heritage in balance with evolving regulations. In Year 2 we will gather insights from local communities, tour operators, ecosystem experts, private and governmental regulatory stakeholders.  Our project teams will focus on the BluePaper themes, report progress, and share updates via our digital platform. The Communication team will coordinate content from the progress for activities across social media, press, and podcasts and possibly initiate the development of a dedicated “project purpose” website.

LONG FORM DESCRIPTION

The first year’s focus was dedicated to getting the basic structure in place and setting up a flexible and scalable “platform” for internal and external digital communication, involving and providing space for all project partners’ voices. Once that was in place, we focused on the co-creation of a suitable concept and “vision” upon which we could build long-term communication. As a summary, expressed as follows:


“Writing a BluePaper for eco-Arctic sailing expeditions for the protection

of nature and cultural heritages – in balance, in tune, and in time.

The Arctic is in the midst of an accelerating environmental change. Our project aims to develop sustainable opportunities for small-scale sailing tour operators – in balance, in tune, and in time with the development of necessary rules and regulations, and for the protection of the region. Our community of small-scale operators will take on the role of a joint platform when voicing for, and responding to, regulatory proposals.”

We consider the objectives for the communication plan’s first year fulfilled. See samples below. We have met positive and hopeful responses from our press release and social media posts as well as in person at the Arctic Frontier Conference in Tromsø in January 2025.

1) Fieldwork and research on insights and voices

The plan for Year 2 will initially be based on the very important phase of collecting knowledge, information, regulations, traditions, reflections, attitudes, norms, prejudice, and rumors from and around the region; meeting Indigenous and local communities, stakeholders, governmental and political institutions, researchers and Arctic climate experts, entities and entrepreneurs operating in the region, the general public and representatives from the growing number of large and small-scale tour operators. The latter interested in exploring the Arctic region for tourism business purposes.

2) Drafting a framework for the BluePaper

A preliminary list of “themes” for the BluePaper has been settled. It is reflected in a short format on the poster and website page that was produced for the Arctic Frontiers Conference.

3) Workflow

Project partners will work in tailored teams with the themes and the tasks specified in this application and report ongoing progress to the management  (Hrimfare) as well as upload results and content to the internal digital platform. Regular project video meetings will be held in a similar fashion as during Year 1 and progress will be shared with the communication team (Bertoft/Explore North). The communication team will coordinate the publishing and communication frequency and intensity on social media platforms, podcasts, press releases, and other suitable forums.

4) Communication channels

All external digital channels will be valued as resources for communication and if beneficial for the project and the BluePaper outreach potential, a tailored website will be drafted and/or initiated during Year 2. â€‹â€‹

COMMUNICATION PROGRESS – YEAR 1 (SAMPLES

1) Approval and onboarding

​​After the project approval in May 2025, we spent the initial time introducing and onboarding

the partners in the project team.

2) Internal Collaboration platform

We established a digital platform structure for our internal collaboration and shared

documents and routines for internal communication and video meetings:

3) Communication strategy, name, hierarchy and “look and feel”

We co-created a plan for how we best should communicate to our audience as a project and

 as individual co-partners, sorting out a suitable communication “hierarchy” etc:

​We then developed the project’s “tone of voice” in writing, appearance, and impact considering name, structure, and initial design elements, etc. The term “BluePaper” was established as a “nickname” for the documentation being produced as an outcome of this project.

4) Presentation of stakeholders

We have presented stakeholders on the already existing website of the project initiator Sailing4Science (S4S). S4S as “base/sender/producer” allows us to formally and indirectly connect this project to the global endorsement from UN Ocean Decade 2021-2030 Program which was considered a win-win for the project mission and all parties involved.

4:2 Presentation of Sailing4Science

240814 – The project team’s decision to use the website of Sailing4Science allowed our

audience to learn more about the Sailing4Science concept and its stakeholders, as well as to understand the connection to the UN Ocean Decada 2021-2030 program.

240814 – Project partners were initially briefly introduced via the news post and a list on a separate page under “PROJECTS”.

 

241218 – The partner’s individual presentations were prepared and made ready for the launch of the project and the distribution of the first press release.

5:1 Press release and launch

241218 – Launching the project via an international press release and the website and on social media – shared with all partners.

5:2 Arctic Safety Conference

250115 – Project team members and guests discussing safety circumstances and requirements for small-scale expeditions in arctic waters and how to create and develop a comprehensive but also accessible framework for the BluePaper. 5:3 Arctic Frontiers Conference – Tromsø
